Front Office Coordinator

Reports To: Office Manager
Department: Business

SUMMARY:

Planning and coordinating the daily activities of the front office staff ensuring proper coverage at all times. Ensure compliance with HIPAA/OSHA standards. Identify problems and make recommendations for resolutions. Exhibit values of integrity and compassion.

DUTIES & RESPONSIBILITIES:

1. Leadership:

a. Supervise front office staff and give direction.
b. Assist in hiring, training, and reviewing performance of staff.
c. Ensure adherence to departmental policies and procedures, including patient privacy.
d. Resolve complex patient complaints, and answer questions regarding policies and procedures.
e. Ensure services are in compliance with professional standards, state and federal regulatory requirements.

2. Obtains current patient information from established and new patients:

a. Notes patient arrival in Practice Management System and Electronic Health Record.
b. Accurately enters/updates patient information in Practice Management system and Electronic Health Record.
c. Assists patients with completion of paperwork when necessary.
d. Scans all necessary documents into Electronic Health Record
e. Identifies payer source, verifies insurance eligibility, financial status, and assigns correct pay type.
f. Obtain authorizations for office visit, radiology, and outpatient services.

3. Accurately pre-screens medical records:

a. Prints schedules for upcoming appointments.
b. Verifies insurance eligibility and authorizations for dates of service have been obtained.
c. Reviews Practice Management System for needed demographics and consent forms.
d. Attaches needed updated demographics and consent forms to schedule.

4. Schedules appointments:

a. Identifies patients by date of birth and name in computer system.
b. Creates new account if patient not in the system.
c. Schedules and re-schedules appointments as needed.
d. Schedules and re-schedules outpatient procedures as needed.
e. Calls No Show appointments to reschedule, makes appropriate notations in Electronic Health Record and Practice Management System.
f. Performs prescreening process for add-on appointments.

5. Protects/observes patient confidentiality per policies and procedures.

6. Scans information into Electronic Health Record:

a. Categorizes, dates, and labels loose medical documents.
b. Scans loose medical documents per protocol.
c. Accurately imports registration documents into patient’s electronic health record.

7. Demonstrates the ability to collect office charges and accurately manage cash drawer:

a. Reviews all superbills for accurate billing (procedure code, diagnosis and physician signature)
b. Collects any deductibles, coinsurances and/or copays due for specialist services.
c. Accurately reconciles charges for the day and correctly prepares daily batch deposits, reports, and superbills for the Billing Department.
d. Prints schedules for upcoming appointments.
e. Reviews schedules for any outstanding balances and/or credits for patients.
f. Demonstrate competency in reviewing patient insurance benefits and calculate Out-of-pocket cost for outpatient services.

8. Routinely demonstrates superior customer service skills:

a. Answers telephone in a timely and polite manner, preferably within three rings.
b. Communicates with customers in a courteous, professional, cooperative, and mature manner.
c. Recognizes and responds appropriately to violent/abusive situations and emergencies.
d. Accurately takes messages and conveys information to recipient.
e. Transfers call / task to physicians and medical teams when medically indicated.
